Create work that matters.

Great workplaces don't happen by accident.

Behind every productive team is someone who keeps everything running smoothly.

As our Office Clerk & Facilities Assistant, you'll help create a clean, organised, welcoming, and efficient workplace where our team can focus on doing their best work.

From maintaining our office and supporting daily operations to assisting with deliveries, hospitality, workplace logistics, and occasionally supporting our production team, you'll play an important role in the daily experience of every employee, client, and visitor who walks through our doors.

About the Role

We're looking for a dependable, organised, and proactive Office Clerk & Facilities Assistant who enjoys supporting others and takes pride in maintaining a professional working environment.

This role supports the day-to-day operations of our Dubai office by ensuring workspaces remain clean, organised, well-stocked, and ready for employees, clients, and visitors.

You'll also assist with hospitality, deliveries, office supplies, meeting room preparation, and general office support while occasionally supporting our Creative Production team with equipment preparation and basic production logistics when required.

What You Will Do

Office & Facilities

  • Keep offices, meeting rooms, pantry, kitchen, washrooms, and shared spaces clean, organised, and presentable throughout the day.
  • Replenish pantry, kitchen, washroom, stationery, and office supplies.
  • Monitor office inventory and notify the Operations team when supplies require replenishment.
  • Prepare meeting rooms before internal meetings and client visits.
  • Help maintain a safe, tidy, and professional workplace.

Hospitality

  • Welcome clients, visitors, and guests professionally.
  • Prepare tea, coffee, refreshments, and meeting setups.
  • Support hospitality requirements for internal meetings, workshops, and client presentations.
  • Assist during company events and internal gatherings when required.

Office Support

  • Assist with deliveries, couriers, document collection, and general errands.
  • Help organise storage areas and office supplies.
  • Support the Operations team with day-to-day administrative and office requirements.
  • Assist with setting up workstations and preparing office spaces for new employees.

Production & Equipment Support

  • Assist the Creative Production team with equipment preparation before and after photo and video shoots.
  • Help organise, pack, load, and unload cameras, lighting, audio equipment, tripods, and production accessories.
  • Support the transportation and return of production equipment when required.
  • Assist with setting up basic production equipment, including tripods, light stands, reflectors, monitors, and accessories under the guidance of the production team.
  • Help keep production areas, equipment, and workspaces clean, organised, and ready for efficient operation.
  • Assist videographers, photographers, producers, and production assistants with general on-set tasks as directed.
  • Organise batteries, memory cards, cables, and accessories before and after productions.
  • Help label, organise, and safely store production equipment and accessories after each shoot.
  • Report damaged or missing equipment to the Creative Production team.
  • Provide general production support during studio and on-location shoots when additional assistance is required.

Workplace Experience

  • Ensure client-facing areas always reflect ZIA's professional standards.
  • Report maintenance issues promptly.
  • Support office moves, workspace organisation, and internal logistics.
  • Take initiative to improve the overall workplace environment.

What Success Looks Like

You'll be successful when:

  • The office is consistently clean, organised, and welcoming.
  • Meeting rooms are always prepared before they're needed.
  • Supplies are replenished before they run out.
  • Employees and visitors enjoy a positive workplace experience.
  • Internal teams can rely on your support.
  • Production teams receive the assistance they need during busy periods.
  • You take initiative and complete tasks without constant supervision.
  • The office reflects the professionalism and quality expected of ZIA.

You Will Probably Be a Great Fit If You Have

  • Previous experience in office support, facilities, housekeeping, hospitality, administration, or a similar role.
  • Excellent organisational skills and attention to detail.
  • A positive attitude and strong work ethic.
  • Professional appearance and courteous communication.
  • Reliability, punctuality, and integrity.
  • Ability to work independently while supporting a team.
  • Willingness to assist wherever needed.
  • Basic English communication skills.
  • An interest in photography, videography, production, or creative industries is an advantage.

Additional Strengths

It would be an advantage if you have:

  • Experience working in a creative agency, corporate office, or hospitality environment.
  • Basic computer skills.
  • Experience supporting workplace operations or facilities.
  • Basic knowledge of camera, lighting, or production equipment.
  • Experience supporting photo or video productions.
  • Comfortable working on occasional studio or location shoots.
  • A valid UAE driving licence.
  • Basic understanding of workplace health and safety practices.
  • A friendly, professional approach when interacting with colleagues and visitors.

While this role has clear areas of responsibility, you will also contribute beyond traditional account-management boundaries as projects evolve and client needs change.

You will thrive here if you enjoy solving complex challenges, remain composed under pressure, communicate with clarity, and take ownership from the first conversation through final delivery.
